Borrowing at SUAD Library: Home

This guide is to help the users to know more about borrowing privileges and overdue items handling.

Borrowing privileges

Current students, faculty members, and staff can borrow books from the Library, depending on the user category, as per the privileges below:

  • Undergraduate students
    • May borrow up to 6 books for 14 days, renewable only once;
  • Graduate students
    • May borrow up to 12 books for one month, renewable only once;
  • Full-time Faculty
    • May borrow up to 30 books for one semester, renewable only once;
  • Part-time Faculty
    • May borrow up to 6 books for one month, renewable only once;
  • Visiting Professors
    • May borrow up to 6 books for the duration of the mission; 
  • Staff
    • May borrow up to 6 books for one month, renewable only once;
  • Alumni
    • Only alumni may borrow up to 3 books for 14 days, after activating the membership.

Renewal, hold, recall

Renewing/Returning items

Library materials must be returned or renewed on or before the due date and can be renewed online for only one time through your Library system account. All users are eligible for one-time renewal, except for memberships. Library materials may be returned to the library information desk or using the self-check-in/check-out machines. Step-by-Step Guide on Items Renewal

Note: An item cannot be renewed if it is on hold for someone else; has been recalled by library staff; or reached the maximum number of renewals allowed.

Recall items

Checked-out materials may be recalled by the Library staff in special circumstances. Materials may be recalled if needed for course reserve or course instruction. An email to the borrower will be automatically sent to recall the item, which must be returned by the new due date mentioned in the email.

Hold items

If an item is currently on loan, the user can reserve this item by adding a hold on the library system. Once the item on hold is back in the Library, an automated notification is sent to the user. This item is placed on a “hold shelf” at the information desk, ready for pick up.  Note:

  • Users can hold up to a maximum of 3 items at a time
  • The hold request in the Library system will remain active for up to 14 days
  • The item on hold will be kept at the information desk “hold shelf” for a period of 3 working days
  • Automatic notifications will be sent to the requestor throughout all processes 

 

Overdue & lost items

Overdue items: fines, notices, suspension, and replacement cost

Automatic notices are sent from the Library system, to remind users of the checked-out books due dates, overdue, long overdue, and other notices, as per the below:

  • Reminder: 2 days before the due date
  • 1st overdue notice: 1 day after the due date
  • 2nd overdue notice: 7 days from the 1st overdue notice
  • Long overdue notice: 30 days from the due date

Overdue fines are counted as the first day after the due date:

  • 5 AED per day per item
  • The maximum overdue fine for each item is 100 AED.

If an item is long overdue and is not returned, the user will be banned from borrowing until the item is returned, or a replacement cost is settled. The suspension alert will be sent to the long overdue user. At the same time, a hold is also added to the account of the student on Banner, which won’t allow the students to check their grades, or request any document from the Registrar. If no action is taken by the user, the matter will be cleared before graduation (graduation hold) or before leaving SUAD.

In case of long overdue items for faculty and staff, the user will be banned from borrowing until the item is returned, or a replacement cost is settled.
